This privacy policy explains how Kachi Marketing Ltd, trading as Settli, collects, uses and protects personal information when you visit settli.co.uk, create or use a Settli account, buy a Move Pass, contact us, or otherwise use our services.
Settli is operated by Kachi Marketing Ltd.
The terms “we”, “us” and “our” refer to Kachi Marketing Ltd trading as Settli. The terms “you” and “your” refer to website visitors, app users, customers, subscribers and anyone else who interacts with Settli.
For the purposes of UK data protection law, Kachi Marketing Ltd is the Data Controller for the personal information described in this Privacy Policy.

We are registered with the Information Commissioner’s Office, the UK’s data protection regulator.
Personal information means any information that relates to an identified or identifiable individual. This includes obvious information such as your name and email address, but can also include account information, online identifiers, IP addresses, app usage information and information you choose to add to Settli while planning or managing a home move.
Account and contact information. This may include your name, email address, telephone number, password and account identifiers. Passwords are stored in protected form by our authentication provider and are not visible to us in plain text.
Move and property information. This may include whether you are buying, selling or both; a property nickname and address; postcode; property type; asking price or offer amount; offer date; expected completion date; funding type; whether you have a related sale or onward purchase; and the stage and status of your move.
Roadmap and activity information. This may include tasks, target dates, completion status, milestones, risks, notes, timeline entries, plan health, reminders, draft chaser messages and records of actions within the service.
Information about people involved in your move. You may choose to add the names, roles, organisations, email addresses, telephone numbers and notes for people such as estate agents, solicitors, conveyancers, mortgage advisers and surveyors. You may also add information about other members of your household or people participating in the move.
Payment and subscription information. Our payment provider processes your payment-card details. We generally receive payment status, subscription status, transaction references, customer identifiers, cancellation information and limited billing details, rather than your full card number or security code.
Communications. We collect information you send when you contact us, submit feedback, make a privacy complaint, ask for support or communicate with us by email or another channel.
Technical, usage and security information. This may include IP address, browser and device type, operating system, timestamps, referring pages, pages or features used, diagnostic information, security events and cookie or consent choices. Non-essential analytics or marketing technologies are handled in line with our Cookie Policy and your choices.
Marketing information. This may include whether you have agreed to receive marketing, how you interact with our communications and when you unsubscribe or change your preferences.
Please do not put special category information, criminal-offence information or unnecessary confidential information into free-text notes. Special category information includes information about health, race or ethnicity, religious or philosophical beliefs, political opinions, trade-union membership, genetics, biometrics used for identification, or sex life or sexual orientation. If you voluntarily include such information, we will only use it as necessary to provide the feature you asked for and where data protection law permits.
We receive most information directly from you when you register, set up or update a move, use a feature, make a payment or contact us.
We may also receive limited information from our payment provider, customer relationship management system, email delivery provider, authentication and hosting providers, cookie or analytics tools, and from another Settli user who adds you as a contact or participant in their move.
If you give us personal information about another person, please only provide what is reasonably needed for the move. You should tell them that you have added their details and direct them to this policy where appropriate. Do not add confidential information about another person without a proper reason and their knowledge.
To create and manage your account, verify your email, authenticate you and provide the Move Pass and core Settli service. Our lawful basis is performance of our contract with you.
To build and update your personalised roadmap, calculate suggested dates, show progress and risks, generate reminders and draft communications, and allow you to export or manage your move information. Our lawful basis is performance of our contract with you.
To process payments, administer subscriptions, cancellations and refunds, prevent payment fraud and keep accounting and tax records. Our lawful bases are performance of our contract, compliance with legal obligations and our legitimate interests in receiving payment and preventing fraud.
To send service messages such as verification emails, password resets, receipts, security notices, task reminders and important changes to the service. These are not marketing messages. Our lawful bases are performance of our contract, compliance with legal obligations and our legitimate interests in operating a reliable service.
To provide customer support, respond to enquiries and complaints, and keep records of how we resolved them. Our lawful bases are performance of our contract, compliance with legal obligations and our legitimate interests in supporting customers and improving service quality.
To secure, troubleshoot, test and improve Settli; measure sign-ups, active moves, subscriptions and churn; understand which features are useful; detect misuse; and maintain audit and diagnostic records. Our lawful basis is our legitimate interests in running, protecting and improving Settli. Where a non-essential cookie or similar technology requires consent, we rely on consent instead.
To send news, offers or product updates. We rely on your consent where required. In limited cases, we may rely on the existing-customer exception under the Privacy and Electronic Communications Regulations for marketing our own similar services, where the law allows and you were given a clear opportunity to opt out. You can opt out at any time.
To comply with law, respond to valid requests from regulators or courts, establish or defend legal claims, protect users and the public, and prevent or investigate crime. Our lawful bases may be legal obligation, legitimate interests or a recognised legitimate interest where the law provides one.
Where we rely on legitimate interests, we consider whether the use is necessary and whether your rights and reasonable expectations outweigh our interests. You can ask us for more information about this assessment.
We may send operational messages needed to provide your account and Move Pass. You may be able to control optional reminders in your account settings, but you cannot opt out of messages that are necessary for security, billing or important service changes while your account remains open.
Marketing is separate. You can unsubscribe using the link in a marketing email or contact [email protected]. Opting out of marketing does not stop necessary service messages.
Settli may draft chaser messages for you. Unless a feature clearly says otherwise, these are drafts for you to review, edit and send. We do not contact your estate agent, solicitor or another professional merely because you have stored their details in Settli.
We use carefully selected suppliers to operate Settli. Depending on the feature and production environment, these include:
Supabase for account authentication, databases and application services
Stripe for payment and subscription processing
Spotty Elephant for customer relationship management and permitted customer communications
Resend for transactional email delivery
Google Workspace for business email, documents and support administration
Cloudflare for domain, network, security and content-delivery services; and
our application development, hosting, monitoring and deployment providers, currently including Lovable
These suppliers may only use personal information to provide services to us and must protect it under contract and applicable law.
We may also share information with professional advisers, insurers, auditors, regulators, law-enforcement bodies, courts or other parties where this is reasonably necessary to comply with law, protect rights or manage a legal claim.
If you choose to invite another person, share an export or send a message using Settli, we share the information you select with the recipient you choose. That recipient is responsible for their own use of the information.
If Settli or Kachi Marketing Ltd is reorganised, sold or transferred, relevant information may be disclosed to potential and actual buyers or advisers, subject to confidentiality and data protection safeguards.
We do not sell personal information.
Some suppliers may store information in, or allow support access from, countries outside the United Kingdom. Where this amounts to a restricted transfer, we use a lawful safeguard such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another safeguard permitted by law. We also consider whether additional technical or organisational measures are needed.
You can contact us for more information about the safeguards used for a particular transfer.
We keep personal information only for as long as needed for the purposes described above. Our proposed retention schedule is below and must be matched to the live product's deletion and backup processes before publication.
Account and move information: for the life of the account and Move Pass, then normally deleted or anonymised within 12 months after account closure or expiry, unless you ask us to delete it sooner or we need it for a dispute or legal obligation.
Payment, invoice and tax records: normally six years after the end of the relevant financial year, where needed for tax, accounting or legal purposes.
Support, complaint and legal-claim records: normally up to six years after the matter closes, depending on its nature and the applicable limitation period.
Marketing records: until you unsubscribe or withdraw consent, and suppression records for as long as needed to honour that choice. Inactive marketing contacts may be deleted or anonymised after 24 months.
Security and technical logs: normally up to 12 months, unless a longer period is needed to investigate an incident.
Backups: deleted information may remain in protected backups for up to 90 days before being overwritten, and will not be restored for ordinary use.
We may anonymise information so it can no longer identify anyone. We may keep and use genuinely anonymised information for statistics and service improvement.
We use proportionate technical and organisational safeguards designed to protect personal information against loss, misuse, unauthorised access, alteration and disclosure. These include access controls, authentication, encrypted connections, provider security controls, environment-based secrets, restricted administrative access, logging, backups and procedures for handling security incidents.
No online service is completely risk-free. You are responsible for using a strong, unique password, keeping sign-in details private and checking recipients before sharing an export or sending a message.
Settli uses rules and information you provide to create a suggested roadmap, calculate dates, identify potentially overdue or at-risk tasks, and generate draft reminders or chaser messages. These outputs support your organisation and judgement; they do not make legal, financial or other decisions about you that produce legal or similarly significant effects.
We do not currently carry out solely automated decision-making with legal or similarly significant effects. If that changes, we will update this policy and provide the information and safeguards required by law.
The website and app use essential technologies needed for security, authentication, preferences and core functions. We may also use optional analytics or marketing technologies where you have consented or where a specific legal exemption applies.
For details of the technologies in use, their providers, purposes and duration, and how to change your choices, see our Cookie Policy. Your cookie banner and Cookie Policy must match the tools that actually load on the live website and app.
Depending on the circumstances, you may have the right to ask us for access to your personal information; correct inaccurate or incomplete information; erase information; restrict how information is used; receive certain information in a portable format; object to processing based on legitimate interests or to direct marketing; and withdraw consent at any time where consent is our lawful basis.
These rights are not absolute and do not apply in every situation. We may need to verify your identity before acting on a request. We normally respond within one month, although the law allows extensions in some circumstances.

If you are unhappy with how we use your information, email [email protected] with the subject line "Privacy complaint". We will make it easy for you to provide the relevant details, acknowledge your complaint within 30 days and respond without undue delay, in line with applicable law.
You also have the right to complain to the Information Commissioner's Office. Details are available at https://ico.org.uk/make-a-complaint/. We would appreciate the opportunity to address your concern first, but you do not have to contact us before approaching the ICO.
Settli is intended for adults managing a home move and is not directed at children under 18. We do not knowingly offer accounts to children. If you believe a child has provided personal information to us, contact [email protected].
Settli may link to websites or services operated by estate agents, solicitors, lenders, surveyors, moving suppliers or other third parties. Their privacy practices are governed by their own policies. We are not responsible for how an independent third party uses information you give directly to it.
We may update this policy when Settli, our suppliers or the law changes. We will publish the latest version with a new effective date and, where a change is important, bring it to your attention through the service or by email before it takes effect where appropriate.
